Cary City Meet Info!
Happy Thursday Parents! The long-awaited Cary City Meet email is finally here. Please read through all the information and reach out to us at [email protected] if you have any questions!! We have a few attachments as well to this email.
Arrival and Parking
Please enter the Scottish Hills neighborhood on Tarbert Drive from Cary Parkway. The road in front of the pool will be one way. Stop at the Drop off zone in front of the field (marked with cones) and drop off your swimmers and gear and then park in the neighborhood. Please see the attached map for parking availability. Please be respectful of our neighbors and do not park in front of their driveways or walk on their lawns. Cones will be placed throughout the neighborhood to mark off "No Parking" zones.
Spots in Annie Jones Park and the Scottish Hills parking lot are all reserved for vendors, head volunteers, and coaches.
You can enter "Tent City" in the field near the drop-off zone. Entrance areas will be marked. Our team's specific tent location can be found on the attached map. The tent for our team is provided! There is no need or room to bring your own tent! Please bring chairs, snacks, drinks and activities to keep your swimmer occupied when they are not swimming. Warm Ups will begin at 7:00am in lanes 1-3 for the AM Session (10 and under) and at 1:00pm in lanes 1-3 for the PM Session (11 and up).
Meet Timeline
The Meet is broken into 2 sessions because of how many swimmers we have competing. The morning session (AM Session) is for all the 10 and under swimmers. The afternoon session (PM Session) is for all the 11 and up swimmers. Please write your swimmer's first initial and first three letters of last name on their left shoulder before the meet.
Here is a timeline for the AM Session (10 and Unders):
7am-7:15am: Scottish Hills Warm-ups in Lanes 1-3
8am: Clear pool, National Anthem, Announcements
8:15am: AM Session begins
- This meet runs just like a typical meet event-wise. We will begin with the Medley Relays, then do individual strokes, and finish with Freestyle Relays. Tami, Ashley, and some of the coaches will run the clerk of course for our team under our team tent for the day. Please make sure your swimmers stay near/under our tent during your session so we can easily find and line swimmers up and take them to the main staging area Clerk of Course Tent which is located by the gate where we always to enter the pool during our Home Meets. (The attached Facility Map shows where everything is located around our pool).

Volunteers still needed!
In order for this meet to run successfully, we need our parents to volunteer for a shift. Please sign up if you haven't already! Signups work the same as all our other meets. Listed below are the jobs we still need to fill with a brief description of what the shift entails below it.
Parking Assistants - 4 Needed
- Stand at the entrance to the pool and Annie Jones lot and check parking passes to let people into the lot. Otherwise, they proceed up Tarbert.
Golf Cart Parking Assistant - 1 Needed
- Ride through the streets where people are parking and offer rides if needed.
Relay Helpers - 4 Needed
- This position is only for the medley and free relays of the morning session. You will help to place kids from clerk to their space only on the pool side opposite from the blocks.
Concession Sales - 5 Needed
- Sell concessions under the shelter.
Concessions
Concessions will be sold under the main shelter in the pool area. BOLT coffee will be on site selling coffee and energy drinks for the morning. We will also have Chick-fil-A chicken biscuits and sausage biscuits, donuts, muffins, snacks, candy, fruit and drinks for sale at the concession area. Jersey Mikes will be available for lunch at the concession area and Salvio's Pizza will be selling food for lunch on the tennis courts. Cash and card will be accepted.
There is a designated cafe area on the tennis courts with shade and tables so that you can enjoy your food!
Sunset Slush will be located on the tennis courts.
Heat Sheets, T-shirts, and Swim Accessories
Heat sheets are accessible through the SwimTopia App. QR codes will also be placed around the pool area for quick access to the heat sheets without a SwimTopia account. Paper heat sheets will not be sold at the meet.
Cary City Meet T-shirts will be sold for $20. Goggles, goggle straps, and swim caps will also be available for sale. Cash and card will be accepted.
Results and Awards
Results will be posted on the backboard in the tennis courts periodically. The Trophy Awards Ceremony will take place at the completion of the PM Session recognizing our top finishers and spirit award. Ribbons and medals will be sent to each team and will be distributed to families as they would after a dual swim meet.
Every race at Cary City Meet counts! Finishes are determined by all times and there is no main event.
Points are distributed as follows:

1st place, 20 points, 40 points
2nd place, 17 points, 34 points
3rd place, 16 points, 32 points
4th place, 15 points, 30 points
5th place, 14 points, 28 points
6th place, 13 points, 26 points
7th place, 12 points, 24 points
8th place, 11 points, 22 points
9th place, 9 points, 18 points
10th place, 7 points, 14 points
11th place, 6 points, 12 points
12th place, 5 points, 10 points
13th place, 4 points, 8 points
14th place, 3 points, 6 points
15th place, 2 points, 4 points
16th place, 1 point, 2 points
Only ONE relay team per club in each event may be awarded points and the corresponding medals/ribbons.
Awards: Ribbons and medals will be awarded to individual swimmers and teams as follows:
Medals: 1st through 8th place in individual events, 1st through 3rd place in
relay events
Ribbons: 9th through 16th place in individual events, 4th through 16th place
in relay events
Heat Winner Ribbons: Heat winners in all 10 & Under events
Participation Ribbons: All participating swimmers
Trophies: Top 3 overall point scorers in each boys and girls age group; top five
teams; spirit award
Important Reminders
- This meet will follow TSA rules and finishes are based on times.
- Clarification requests for Stroke and Turn decisions can only come from a coach or a TSA rep, not a swimmer or parent.
- Please write your swimmer's first initial and first three letters of last name on left shoulder.
- Each team will line up swimmers under their tent. Please keep your swimmers close to your tent so that you are not chasing them down when it is time to line up! Then, the swimmers will move to the main staging area for Clerk of Course. Please be sure that your child is paying attention and does not miss their age group call. Please remind your swimmer to listen at Clerk of Course to ensure that they do not miss their swim. With such a large meet, they are unable to slow the flow of the meet for swimmers that are not on time to Clerk of Course.
- The main emphasis at Cary City Meet is on SPIRIT and FUN!! Wear your costumes, bring music, and have a great time!
